Events and acting for clients
We manage guest communications, registration and logistics for international events. Participant data, such as names, contact details, dietary and access requirements, and passport details for travel or security, is used only to enable participation in the relevant event.
When we organise an event ourselves, we are the controller of that data. When we provide event or support services for a client, such as a host government or partner institution, or arrange travel on a client's instructions, the client is the controller and we act only on its instructions. Please contact the client about how it uses your data.
Data Retention
We keep data only as long as needed, in line with our retention schedule. Enquiries are kept for up to 12 months. Accounting records are kept for six years after the end of the financial year. Event and travel data is deleted within 12 months of the event unless needed longer, or sooner where a client instructs. Once data is no longer needed, it is securely deleted or anonymised.
Who we share it with
We share data only as needed with: our clients; travel agents and providers, hotels, venues, registration companies and event security services; our accountants; our bank; and providers of our email, file storage, online forms and accounting software. We never sell personal data.
Some of our work involves events and travel outside the UK, and some of our service providers store data outside the UK. Where we send data outside the UK, we use a lawful transfer mechanism, such as the ICO's International Data Transfer Agreement, or a permitted exception such as the transfer being necessary to perform a contract with you.
Data Security
We take reasonable measures to protect your information. However, no data transmission over the internet can be guaranteed to be completely secure.
We comply with the UK GDPR and Data Protection Act 2018 in how we handle your personal data. We are ICO Registered.
Your Rights
You can ask to access, correct or delete your data, restrict or object to its use, or receive a copy in a portable format. Where we rely on consent, you can withdraw it at any time. We will respond within one month.
